Scheduling vacation time using Requests

Vacation planning and scheduling is crucial for a smooth work process and also has a significant impact on employee satisfaction. In the shiftplan.io application, vacation is managed within the framework of the current work schedule, while long-term vacation planning is best done through requests.

Why not manage it within the work schedule?

Typically, employees use the majority of their annual vacation days in dates that can be determined for the whole year in advance. On the other hand, the work schedule is usually prepared (and published) only for a few weeks or months in advance. Managers can easily enter planned vacation days into the work schedule for the whole year, but employees will not have access to the entire plan - they can only see the published work schedule, and not the plan beyond that period.

That is why requests are more suitable for long-term vacation planning in the shiftplan.io application. Requests are separate from the work schedule and are displayed to employees even if the work schedule has not been published yet. At the same time, they are also displayed to managers when creating the work schedule, so they can include them in the actual schedule.

Requests are displayed in the schedule so that managers can consider them when creating the work schedule.

Employees can themselves suggest desired vacation dates by submitting a request through the employee portal or on the registration terminal, and managers only need to approve them. Requests for the appropriate dates can also be added by managers, and they will then be displayed to employees on the portal and terminal.

Employees can submit and view requests for vacation on the portal or registration terminal.

More information on using requests can be found in the user manuals (users, employees), and for help with configuration, please contact support.
